Fife SEAT is committed to using your data responsibly and ensuring that your privacy is protected. The Privacy Policy has been created in order to ensure that you understand the importance we place on your privacy but also the parties we need to share some information with to ensure you receive great service and your car remains safe and legal on the road.

Fife Seat Limited is authorised and regulated by the Financial Conduct Authority for consumer credit activity and our registration number is 686213.

Mark McKenna, the Owner is the registered Data Controller with the Information Commissioner.


What We Collect

We collect information about you when you interact with us. Enquiring by phone, on the website, in person or data via the connected car service in our vehicles. We will ask you for voluntary information to help us process your order or enquiry. The typical types of information we will collect are listed below under DATA Types.

Your information can also be sent to us by third party providers like SEAT UK & Auto Trader. We will then contact you as this is a request and gather our own information.

We have paper-based order forms and job cards and invoices for the work undertaken, these include data types below and are held securely for up to 8 years.

How we use the information

We collect information to ensure we are providing the correct Finance and insurance products to our customers, and we store this information with our provider ITC.

We use the information in the process of fulfilling and order. This information may be passed to GardX International & GardX Assure who acts as a processor with Fife SEAT being the data controller.

We will also use the information to contact your regarding future relevant offers if you have given your consent for us to do so.

Connected car information may be used for the purposes of locating our vehicles, determining if driving behaviour has breached the law or misuse of our vehicles.


Data Sharing

We also pass information onto Finance providers to allow them to make lending decisions. This information is stored by the Finance providers and Fife SEAT have access to the information we have passed onto them. We pass information to EMAC to allow them to create and manage service plans for customers. This information is kept available online with the providers privacy policy.

We pass your information to SEAT UK to allow them to ensure your car remains safe and they can use the information to refine their marketing and future product development. SEAT UK will ask for your permission for them to contact you in the future.

We pass your information to GardX International & GardX Assure allowing them to sell additional products after a vehicle purchase. The Processing may include the following types of Personal Data about Data Subjects:

Name, email address, details of any finance agreement, registration number, vehicle details, telephone number, address.

We do not transfer your data outside the EU. We do not share your data with third parties that do not have a legitimate reason to be involved with your transaction with us.

We may disclose information to the police or HMRC as permitted or required by law for the purposes of prevention or detection of crime.

The Volkswagen Group will use and retain your information when purchasing a SEAT online connected car, your data will be passed to the VW group and handled within their privacy policy which can be found in the link below.


Information Security

We have taken reasonable car and will review with our external systems providers, what actions we need to take to keep our wireless and data network secure.

Our data is held in secure servers at an offsite location, and we rely on the expertise of internationally renowned specialists to ensure that the security of the servers are monitored and maintained.

All paperwork is kept secure on site and then securely shredded at the end of its useful life.

We process this data as it is necessary for the processing of your contract with us or the performance of our legal responsibilities when it comes to safety of your car or the future safety.

We do not send any customer data outside the EU, and we do not forward your data for third parties to process or sell. Unless we have expressly sought your permission.


Consent

We ask for consent as part of the sales enquiry form.

We will ask for consent as we book a service customer in for a job if consent has not already been given. We assume this consent is valid for 6 years at which point we will ask again if the customer re contacts us. We will not contact customers that have not had a transaction with the organisation after 6 years.

You can change your consent at any time for the different methods of contact from us.

We will manage our database of active customers based on the 6-year rule. Our databases are held securely by external providers. Any breach will be reported to the ICO.

Amending your information

You have the right for some of your information to be removed from our database, we may need to keep certain information for safety warranty or tax purposes. You have the right to access a copy of all the information we hold about you.

Retention of Information

The above information is kept for up to 8 years for tax purposes, even if you change your consent to be contacted, we will retain the information for the period we require the information for legal purposes.
